Job description
Our Agency Owner is looking for a well-organized Executive Assistant to provide business and personal support for a growing office. This is a great opportunity to establish working relationships with customers, our team, and our Corporate office, and contribute to the overall efficiency of our organization.

Job Duties
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Act as the point of contact among executives, employees, clients and other external partners
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Scheduling of meetings/appointments
  • Creating systems and procedures for the Agent's activities
  • Providing high-level, confidential support to the Agent
  • Managing content creation for social media channels and analytics, CRM systems as needed
  • Managing pre and post-event logistics including travel, and product sales at engagements
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Facilitating and following up on sales and appointments
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Travel and event arrangements for Agent
  • Personal duties for Agent as assigned
  • Other duties and responsibilities, as assigned
Qualifications & Requirements
  • Minimum 2 years administrative support
  • Able to travel to all parts of the US and/or International
  • Flexibility, dependability, and adaptability
  • Excellent oral, written, and interpersonal communication skills
  • Excellent organizational skills and ability to process and manage projects in a fast-paced environment
  • Discretion and trustworthiness
  • Driven, Professional, Proactive; takes initiative and autonomous worker
  • Quick thinker; creative
  • Self-motivated, results-oriented and strong attention to detail
Knowledge, Skills, and Abilities
  • Proven ability to work in a fast-paced, always-changing environment
  • Strong computer skills, MS Word, Excel, and PowerPoint

  • Ability to work independently to meet deadlines
  • Strong problem-solving ability
  • Ability to read, write, and communicate in the English language
Pay Scale $18-21/hr based on experience with 30 or more hours available per week
